What to Expect at a Visit at Cedar Medical Clinic Tokyo

What to Bring

  • A valid photo ID (passport, driver's license, or military/DOD ID)

  • Your insurance card or member ID number, if you have one

  • Any relevant medical records, prior test results, or a list of current medications

How It Works

1.  Book your appointment
Call us at 03-6303-3113 (+81-3-6303-3113) during clinic hours or book through our online booking page. Let us know if this is your first visit and what brings you in, so we can prepare ahead of time. 

2. Check in

When you arrive, our English-speaking front desk staff will take your ID and insurance information and walk you through a short intake form.

3. See the doctor.

Our U.S.-licensed physician, Dr. Hiro Hayashi (see profile), will see you for your consultation. If bloodwork is needed, the blood draw is done in-house — samples are then sent to our partner lab for processing. Our nurse is also U.S.-trained and will keep you at ease during your tests. 

4. Pay after your visit.

Payment is due after you've seen the doctor, and our pricing is listed clearly with no hidden fees. Major credit card brands are accepted. 

5. Get your prescription, in-house.

If your prescription is for a short supply (a few days, eg: antibiotics), we can dispense it directly at the clinic. For longer supplies, medications are mailed to you (off-base addresses only) — usually within 3-4 business days, depending on availability. 

​6. Receive your documentation.

Within 2-3 business days, we'll email you an itemized receipt and supporting documentation as a PDF, formatted so you can submit it directly to your insurance for reimbursement.

7. Get your results.

Lab results are emailed to you as soon as they're ready. If you'd like the doctor to walk you through what they mean, we can schedule a follow-up telehealth appointment.

Q: Do you offer consultations during after-hours and weekends? 

A: Yes. We offer after-hours, weekend, and holiday consultations for urgent medical concerns.

If you believe you are experiencing a medical emergency, please call 119 immediately for an ambulance.

For non-emergency medical issues, we offer telehealth consultations to assess your symptoms, provide medical advice, and determine whether you need in-person evaluation. If additional testing or treatment is required, we may be able to arrange an in-person visit depending on the time of day and physician availability.

Please note that after-hours, weekend, and holiday services are offered on an availability basis and cannot always be guaranteed.

Q: What if I need a specialist referral? 

Most hospitals in Japan require a referral letter before you can see a specialist. If a referral is needed, we will provide a detailed referral letter and recommend a trusted hospital or specialist that best meets your medical needs. Our front desk staff can also assist with scheduling your appointment and ensure you have all the necessary documentation for your specialist visit.

We also offer interpreter services for specialist appointments. Our interpreters can assist with the registration process, communication during your consultation, and check-out, helping you feel confident and supported throughout your visit. Please inquire for details.

​Q: Do you provide direct billing? 

At this time, we do not offer direct billing with U.S. insurance companies. Payment is due at the time of your visit, after which we will provide an itemized receipt and any supporting medical documentation needed to submit a reimbursement claim to your insurance provider.

Q: What happens if my insurance claim is denied — can you help me appeal or resubmit documentation?

Insurance claim decisions are made by your insurer, so we can't guarantee a specific outcome or manage the appeal process on your behalf. What we can do is make sure the paperwork on our end is accurate and complete: if your claim is denied due to a documentation issue (missing information, unclear coding, or a request for additional detail), we're happy to correct any errors and reissue documentation as needed. If your insurer requests a letter of medical necessity or additional clarification from the physician, we can typically provide that as well.

Q: Can you prescribe medications I have been taking in the U.S.? Can you prescribe medications to the base pharmacy? 

Most medications commonly prescribed in the United States are also available in Japan, and we can prescribe an equivalent medication at the appropriate dosage. If a medication is not available in Japan and there is no reasonable alternative, we can provide a paper prescription for you to take to the base pharmacy. Please note that we are unable to send electronic prescriptions directly to the base pharmacy.

Q: What medications do you not prescribe? 

We do not prescribe certain controlled medications, such as Adderall, Ritalin, opioids, and medical marijuana. If you are taking a medication in the US and would like to confirm if we can prescribe it, please e-mail us at info@cedarmedicaltokyo.com. If a medication is unavailable in Japan, but there is a reasonable alternative, we would be happy to discuss it during your consultation and help you understand your options.
